NEW FEATURE: Merge Users

At Medtrics, we understand the logistical challenges that arise when duplicate user profiles appear in an institution’s system. While this is an inconvenience for medical students, the issue becomes significantly more complex—and financially impactful—when it involves Residents.

Residency programs depend on accurate reporting to secure federal funding, with IRIS reports playing a crucial role in tracking Resident time and ensuring proper reimbursement. When duplicate user profiles create discrepancies in these reports, institutions risk delays or even loss of funding—adding unnecessary complexity to an already intricate process.

Previously, resolving duplicate user issues required reaching out to Medtrics for backend support. While we were happy to assist, we recognized that institutions needed a faster, more efficient solution—one that put control directly in the hands of administrators.

Introducing the Merge User Tool – Now Live for All Medtrics Customers

We’re excited to announce the launch of the Merge User tool, designed to empower institutional administrators to resolve duplicate profiles without external support. This feature allows admins to:

✔️ Quickly identify and compare duplicate profiles

✔️ Merge two profiles into one while preserving key data

✔️ Ensure IRIS reports and Resident records remain accurate

✔️ Eliminate confusion caused by multiple user accounts

Why This Matters Most for Residency Programs

Duplicate profiles often surface as an issue when Residents transition to multiple rotations and sites, leading to fragmented data across different profiles. Previously, if an institution noticed this issue, they would need to wait for manual intervention. Now, with immediate access to the Merge User tool, admins can act instantly, ensuring seamless reporting, compliance, and accurate funding reconciliation.

How It Works

The process is simple but thorough—ensuring that no essential data is lost during the merge. Admins can:

1️⃣ Navigate to the Users section and select Merge Users

2️⃣ Compare key profile information, including demographics, program affiliations, system activity, and documents

3️⃣ Select which profile to keep and which to merge

4️⃣ Ensure email continuity and preserve critical contact details

5️⃣ Finalize the merge—ensuring a clean, consolidated profile moving forward

Once completed, all relevant data from the removed profile is transferred, and the duplicate account is eliminated. This process ensures that institutions maintain clean, accurate, and compliant user records.
