At Medtrics, we continuously work to improve how students, faculty, and administrators interact with the platform—making clinical education more efficient, intuitive, and precise. This month’s enhancements focus on improving case log flexibility, streamlining faculty workflows, and ensuring greater accuracy in rotation-based form assignments. Read on to see what’s new and how it benefits your institution.
1. Save Drafts in Case Logs – Flexibility for Real-World Clinical Workflows
What’s New?
Students can now save a draft of a case log without needing to complete required fields. This update allows users to document cases incrementally—whether they’re in the middle of a clinical shift, switching devices, or capturing notes for follow-up.
Why It Matters
Medical and veterinary training environments move fast. Requiring all fields to be completed before saving made it harder for students to document cases in the moment, increasing the risk of lost information or incomplete logs. With this update, students can safely save their progress at any point and return later to complete required details.
How It Works
- Navigate to Cases (P) > Case Logs > New Cases
- Click Save Draft at any time
- Required fields will only be enforced when selecting Save Case
This change not only improves the student experience but also ensures more complete records for administrators over time.
2. Improved Faculty Workflow – No More Page Refreshes for Evaluation Submissions
What’s New?
We’ve removed a friction point in the faculty evaluation workflow: the Sign & Submit button now remains active after submitting comments or uploading files. Faculty can continue providing feedback without refreshing the page.
Why It Matters
In high-volume review periods, faculty often submit multiple comments, revisions, or attachments. Previously, each submission required a page refresh before further action. This update eliminates that barrier, allowing uninterrupted, efficient review sessions.
How It Works
- Go to Evaluations (P) > Complete Form
- Submit a comment or upload a file
- Click Sign & Submit
- The button will remain active for continued submissions
The result: smoother evaluations, fewer interruptions, and a better experience for everyone involved.
3. Form Upload Matching with Site Codes – Precision for Multi-Site Programs
What’s New?
A new Site Code column has been added to the CSV upload template for rotation-type evaluation forms. This enables more accurate mapping of responses to specific user schedules—especially useful when multiple sites share the same rotation name.
Why It Matters
Many programs run identical rotations across multiple clinical sites. Without precise matching, form responses could be misassigned, leading to confusion and errors in reporting. With Site Codes, Medtrics now matches evaluation forms using four key fields:
- Site Code
- Rotation Name
- Start Date
- End Date
This enhancement improves reliability, reduces manual cleanup, and strengthens your data integrity—especially important during audits or accreditation reviews.
How It Works
- Navigate to Forms > Evaluation Templates
- Download a rotation-type form’s CSV upload template
- Fill in the Site Code, Rotation Name, Start & End Dates
- Upload via Form Response Upload
Medtrics will use all four fields to match to a user schedule—or default to the rotation if no match is found.
